Privacy Policy
Effective date: May 9, 2026. Applies to: visitors and users of actvite.com and related inquiry channels operated by Actvite.
This page describes our privacy practices in plain language. It is not legal advice. If you need advice about your specific situation, consult qualified counsel.
1. Who we are
Actvite (“we”, “us”) is a trade name used in commerce by an Ontario, Canada corporation. When this policy refers to “Actvite,” it refers to that entity operating the website and inquiry channels described here.
- Website: https://www.actvite.com
- Contact (privacy requests): verify@actvite.com
- Phone: +1 (705) 479-0199
2. Scope
This policy applies to information we collect through:
- Our public marketing website and pages we host at actvite.com;
- Contact or inquiry flows you use to reach us from the site (for example, secure message forms and email); and
- Technical data generated when you load our pages (for example, server and security logs).
If you engage us for professional services, a separate agreement (such as a master services agreement, statement of work, or order form) may include additional or different terms about customer content, confidentiality, and data processing. Where that agreement conflicts with this policy on customer data under an engagement, the agreement controls for that engagement.
3. What we collect
We collect only what we reasonably need to operate the site, respond to inquiries, and protect our systems.
3.1 You provide directly
- Contact details: such as name, email address, phone number, and the content of your message when you contact us.
- Verification signals: if you use a form protected by a bot-management or verification widget, the provider may process technical data to assess whether the submission is legitimate. We do not use that widget to market to you.
3.2 Collected automatically
- Technical and usage data: such as IP address, approximate location derived from IP, user agent, timestamps, referring URLs, and diagnostic data typical of web hosting and security services.
- Cookies and similar technologies: our site may use cookies or local storage where required for security, session continuity, or basic preferences. Third-party scripts we embed (for example, verification or analytics, if present) may set their own cookies subject to their policies.
We do not intentionally collect sensitive categories of information (for example, health data) through our marketing site. Please do not submit regulated or highly sensitive personal information through general contact forms unless we have explicitly agreed to receive it under an engagement.
4. Why we use information (purposes)
We use personal information to:
- Operate, secure, and improve the website;
- Respond to inquiries and manage follow-up communication you request;
- Detect, prevent, and investigate fraud, abuse, and security incidents;
- Comply with law, regulatory requests, or lawful process where required; and
- Maintain records for a reasonable period for legal, security, and operational reasons.
We do not sell your personal information. We do not use contact form data to train generalized public AI models.
5. Legal bases (Canada)
Depending on the context, we rely on appropriate lawful bases under Canadian privacy law, commonly including:
- Consent where we ask for it (for example, when you submit a form or email us);
- Legitimate interests that are not overridden by your rights, such as securing our infrastructure and understanding aggregate site performance; and
- Legal obligation where retention or disclosure is required.
Quebec residents may have additional rights under applicable provincial law; contact us and we will respond in line with applicable requirements.
6. Service providers
We use reputable infrastructure and service providers to host the site, protect against abuse, route email, and operate backups or monitoring. These providers may process personal information on our instructions and under contractual safeguards appropriate to the service.
Because internet infrastructure often crosses borders, personal information may be processed in Canada, the United States, or other countries where our providers operate. Where required, we implement measures appropriate to the risk, such as contractual clauses and vendor diligence.
7. Retention
We retain personal information only as long as necessary for the purposes above, including:
- Inquiry records: typically long enough to complete the conversation and manage ordinary business records unless a longer period is required by law or active dispute;
- Security logs: for a limited rolling window consistent with operational and investigative needs;
- Legal holds: longer where preservation is required.
When retention ends, we delete or de-identify information where feasible.
8. Your choices and rights
Subject to applicable law, you may request access to, correction of, or deletion of personal information we hold about you, withdraw consent where processing is consent-based (without affecting lawful processing prior to withdrawal), or object to certain processing in permitted cases.
To exercise these rights, email verify@actvite.com with enough detail for us to verify your request. We may need to confirm your identity before disclosing or changing records. You may also have the right to complain to a privacy regulator.
9. Security
We implement reasonable administrative, technical, and physical safeguards appropriate to the sensitivity of the information and the risk of harm. No online transmission or storage is perfectly secure; we encourage you to use updated browsers and avoid submitting unnecessary sensitive data through unsecured channels.
10. Children
Our website is aimed at businesses and adult professionals. We do not knowingly collect personal information from children. If you believe a child has provided us personal information, contact us and we will take appropriate steps to delete it.
11. Changes to this policy
We may update this policy from time to time. We will post the revised version on this page and update the effective date. If changes are material, we will provide additional notice where appropriate.
